We are currently embarking on our new master plan and creation of a Community Conservation Campus. As one of the GTA’s Top Employers for 2022, we are seeking an experienced supervisor with outstanding public relations, events and marketing expereience to join our Partnerships & Events team.

Basic Function: Reporting to the Manager of Partnerships & Events, this position is responsible for providing daily supervision and training to both permanent and non-permanent staff including group events, events and partnerships and community outreach seasonal team as well as performing the daily operational requirements for all aspects of the Branch. This position will assist and provide support in implementing the Strategic Plan.

Responsibilities

Supervise and support of the Zoo’s revenue generating programs including corporate events, year-round and signature events, special exhibit and VIP events, zoo days, birthday parties as well as community outreach, community partnerships, cultural programming and activation opportunities. Work closely with new/external groups including event planners, tourism partners, corporations, associations, charities, sponsors, etc.

Supports the Manager, Partnerships & Events with sponsor benefit planning and fulfillment.

Supervises, directs, trains, schedules, evaluates, disciplines and assigns duties to staff. Processes staff payroll.

Plans, co-ordinates and executes events as required

Recommends, develops and assists in executing annual event year-round event and outreach calendar.

Serves on Zoo and public committees as required.

Monitors and records time and attendance of staff.

Supports preparation and management of annual budget for the Unit.

Assists Manager in ensuring that all staff properly complete work assignments.

Ensures that the Manager is aware of all work assignments and projects taking place within the Branch and keeps him/her informed of any problems that may occur, as well as the status of the assignments/projects.

Maintains Partnerships & Event records, files and correspondence.

Prepares reports of a general nature including tracking sheets, work activity, Division Head and staffing reports .

Ensures staff compliance with Toronto Zoo policies and procedures and OHSA.

Update client database, revenue and survey tracking sheets as well as Group Event status reports.

Assist with client contracts and billing/invoicing.

Overseas the mascot and outreach programs and off-site community events and when required, wears the mascot costume or escorts the mascot for various functions on/off site.

Other related duties as requested by the Manager.

Qualifications

Must possess a certificate or diploma in Event Management, Public Relations and/or Marketing at the community college level, or the equivalent amount of experience and training.

Must possess five (5) years of experience in events and partnerships

Must possess two (3) years supervisory experience in the same or similar position and possess strong event planning and sales experience.

Experience supervising in a unionized environment preferred.

Must have strong interpersonal skills with proven leadership ability.

Must have demonstrated superb written and verbal communication skills using the English language as well as strong organizational skills.

Must be proficient is the use of computers including Mirosoft Word, Outlook. Experience with CRM and RMS an asset.

Must possess a non-probationary Class G licence, along with a good driving record.

Possess working knowledge of Occupational Health and Safety Act and GHS.

Must be able to deal with staff and public in a courteous, efficient manner.

Fluency in another language an asset.

Must be capable of performing the physical demands of the job.

Must be able and willing to work on/off site as well as shifts, weekends and holidays.
